Privacy Notice
Everiva provides private Event pages where invited guests can submit media, receive an invitation and optionally reply to an RSVP. This notice explains the platform-level handling of that information. Every Event also provides its own notice identifying the Event organiser, privacy contact and retention period.
Who is responsible?
The Event organiser determines the purpose of the Event gallery and RSVP, who is invited, which questions are asked and how long Event information is retained. Everiva provides the technical platform and acts on the organiser’s instructions for Event data. Questions about a specific invitation, response, photograph, video or removal request should first be sent to the contact shown on that Event’s Privacy Notice.
Information processed
- Photographs, videos, video wishes and related upload metadata.
- An optional guest display name and the date and time of upload.
- Invitation recipient details supplied by the Event organiser, such as a guest name and email address.
- RSVP choices and planning details supplied by the guest, such as party size, meal choice, transport or an optional message. Dietary or accessibility information is requested only when enabled and requires an explicit acknowledgement.
- Event, gallery and media identifiers needed to store, moderate and display uploads.
- Consent and privacy receipts recording the accepted statement, Event, timestamp and limited technical evidence needed to demonstrate the acknowledgement.
- Essential session and security cookies used for private access, upload continuity and administrator or client sign-in.
How information is used
Information is used to deliver invitations requested by the Event organiser, record RSVP responses, send limited response reminders, receive uploads, prevent duplicates, create optimized previews, display approved media, provide moderation and downloads, protect private Events and maintain service security. Everiva does not use RSVP addresses for unrelated marketing and does not require guests to create an account simply to reply or upload.
Sharing and public visibility
Media is available only through the Event access selected by its organiser. Approval settings may prevent new uploads from appearing until they are reviewed. Private technical information such as email addresses, internal IDs and precise location metadata is not intentionally shown in the public gallery.
RSVP access and reminders
RSVP answers are available to the Event organiser and authorised Everiva administrators. Independent media reviewers do not receive RSVP access. A reminder may be sent only to invited recipients who have not responded; every reminder identifies the Event and provides a way to stop further reminders. Everiva does not use invisible email-open tracking pixels.
Retention and deletion
Each Event has its own access and retention schedule. The applicable period is shown in the Event-specific Privacy Notice. Invitation recipient lists and RSVP responses follow that Event schedule unless the organiser removes them sooner. Event administrators can moderate or remove individual records and can wipe or delete Event data according to their permissions and contract.
Software and service providers
Everiva is a branded application that extends the self-hosted Memtly Core and uses open-source software components. The fact that a component is installed does not itself mean your information is sent to its developer. Where an operator configures an external email, proxy, DNS or notification provider, that provider may process the limited information required to deliver that service. Your choices
Depending on the applicable law and circumstances, you may request access, correction, restriction or deletion of your information, object to processing, or withdraw consent. Withdrawal does not affect processing that occurred before it. Contact the Event organiser shown in the Event notice, or contact Everiva at everivamemories@gmail.com for platform-level privacy or security questions.
